The eight workflow zones
Lead intake — who, when, what response, what CRM stage.
Sales pipeline — stages, owner, SLAs, decline reasons captured.
Proposal + contract — template, redline workflow, e-sign, kickoff trigger.
Onboarding — first 14 days of every new client.
Delivery — project management, file handoff, approvals, change-orders.
Billing + collections — invoicing cadence, dunning, deposit flow.
Customer service + reviews — response SLA, review request, escalation.
Internal ops — hiring, payroll, vendor management, finance.
For each zone, document
Owner (named human).
Tools (CRM, ProjectManagement, Spreadsheet, Email — what specifically).
SOP or steps (linked or to-be-written).
Failure modes (what breaks when this owner is sick).
